Privacy notice

This notice sets out how Criteria uses and protects personal information that we process.

Criteria is the Data Controller for personal data collected by company:

  1. As part of the Tell Us What You Think community
  2. As part of our market research activities
  3. If you have asked us not to contact you again
  4. When people visit our website
  5. When conducting business with clients and suppliers
  6. When recruiting and employing people

We always process personal data within the UK, unless it is necessary to transfer data outside the EU for a specific client project. Research participants will be notified if the project requires data to be transferred outside the EU and the safeguards that will be used to protect their data, before commencing.

The security of personal data is important. We use a wide range of organisational, technical, physical and operational controls to prevent unauthorised access to data, which are assessed on a regular basis.

We will not sell your data to third parties for use outside the activities that we agree with you. We will not share data with 3rd parties unless they are specifically processing that data under contract, on our behalf.

We may collect and process the following data about you:

When you sign up to our Tell Us What You Think community, we use the information that you provide to identify research projects that may be suitable for you to attend with your consent.

Market research activity needs to be as representative as possible and may need to focus on individuals with certain interests, characteristics or beliefs. You will be asked questions about your background, lifestyle and products and services that you use.

Some research activities may require collection of sensitive data, such as ethnic origins, health, religion, sexual orientation or political beliefs. You are not under any obligation to provide this information and we will always obtain explicit consent at the point of data capture.

We will retain your information until you ask to be removed from the Tell Us What You Think community or request that you are not considered for future market research activity. You can delete your profile via the website or contact [email protected]. We will remove your details within 28 days. We will also add your email address and phone number to our Do Not Contact database to ensure that we don’t contact you again.

We use well established IT service providers in the UK to processes the data.

If you are signed up to the Tell Us What You Think community or you have joined a research register of a third party that we are working with, and are selected to participate in a market research activity, we will:

  • Contact you by telephone, email or SMS message for quality control purposes prior to the research or other activity taking place and for research or other activity taking place over a period of time.
  • We will share your personal data that is necessary for the research activity with the client, in line with your original consent.
  • We may contact you throughout the exercise to check on progress.
  • Our client may contact you after the research or other activity has taken place, to follow up on ideas generated during the discussion, but will not contact you for any other purpose unless otherwise agreed with you.
  • If you signed up through a third party recruitment organisation, they will remain the Data Controller for their processes and will provide further details through their Privacy Notices.

Once you have participated in the research activity, Criteria will retain the data you provided to us for a period of 2 years. This is a legitimate interest, to facilitate quality control and validation.

Any processing of personal data will be done on our UK servers.

If you ask us not to contact you again, we will update our systems within 28 days. We will keep the contact information (email address and/or telephone number) that we already hold about you or that you provide to ensure that we do not contact you, on the basis of legitimate interest.

We use a technology cookies as part of a normal business procedure to track patterns of behaviour of visitors to our site and to manage certain elements of the way you view our website.

We retain the contact details of people we work with, for business purposes, as a legitimate interest. To support long term business interests, we will retain that information until deemed out of date or we receive a request to delete it.

When people apply for jobs with Criteria, we process information necessary for the recruitment process. If applicants are not successful, we delete their data after six months, unless there is a business justification for longer retention.

For employees, we process information necessary for their employment, for legal, contractual and legitimate interest (e.g. performance monitoring) reasons. We retain employment records for 7 years after termination of the contract, and key records to provide references or any information that may be needed to support legal activities after that time.

As an individual whose personal data is processed by Criteria you have the following rights:

  • the right to be informed – which is what this privacy notice is for
  • the right to request a copy of the data we hold about you
  • the right to object to direct marketing or processing carried out on the basis of legitimate interests
  • the right to request that your data is erased.
  • the right to request that your data is transferred to another organisation.
  • the right to have your data rectified if it's inaccurate
  • the right to have your data restricted or blocked from processing
  • The right to have any automated decision making or profiling explained, and manually reviewed.
